Position Overview

The Executive Assistant to the Head of Ralph Lauren Home serves as an ambassador for the Home leadership across departments to drive administrative organization, streamlined communication, and strategic prioritization, with a particular focus on team culture. The position provides direct support to the Head of Home as well as occasional support to the Ralph Lauren Home leadership team. Critically, this role also serves as an extension of these leaders among the broader team – keeping everyone on track in scheduling major milestones and managing critical team-wide communication. This requires judgement and a knowledge of the team’s strategic priorities, so effective sequencing of work and collaboration can be planned. As the master of scheduling, this role is front facing for internal and external partners and therefore respect, timeliness, and a welcoming attitude are a requirement. 

In addition to managing the calendar of the Head of RL Home, this role is responsible for travel arrangements both domestic and international, office management (i.e. FedEx, package deliveries, etc.), invoice processing, and expenses.  The Executive Assistant partners with the senior leaders to design and execute all team programming, including development, training sessions, and celebrations.

The role is best suited for someone who has a strong attention to detail and can be proactive and thoughtful in designing processes and driving follow-up. Moreover, this is best suited for an individual who thrives in ambiguity and is comfortable giving candid and considered input. The position resides within a fast-paced environment where multi-tasking, juggling and managing a number of discrete tasks are critical to success. Judgement, effective communication, and empathy are critical to reinforcing trust amongst leaders and upholding team culture.

Essential Duties & Responsibilities

  • Forward-thinking strategic calendar management under the guide of Head of RL Home and Senior Leadership prioritization 
  • Create, memos, meeting agendas and other correspondence.
  • Attend meetings to take notes as requested.
  • Follow up with executives’ teams/colleagues on meeting materials as requested.
  • Oversee the team ecosystem and be the ear to the ground for how senior leaders keep culture at top of mind with actionable solutions.  
  • Monitor T&E budget; track and process all expenses and Home invoices on a weekly basis.  
  • Presentation development: compile collateral materials, gather and edit content, produce draft (includes heavy PowerPoint and spreadsheet generation).
  • Plan special and executive events, client meetings, team gatherings (with internal and external partners) and off-site meetings as requested.
  • Proactively develop ways to make the whole team’s time as effective and smooth as possible.
  • Ensure accuracy on all projects and correspondence.
  • Constant ability to be precise and be a step ahead with creative problem solving.
  • Coordinate detailed travel arrangements for RLH President and other senior leaders with careful oversight of internal travel department; ensure travel plans are aligned with others on the same trip to the extent possible.
  • Ensure executives’ contacts, organizational charts and other key information are always updated.
  • Order supplies, as needed.
  • Assist in special projects, as needed.

Experience, Skills & Knowledge

  • Experience as an Executive Assistant.
  • Experience with Business Operations to facilitate a smooth operation of our Home business.
  • Demonstrate ability to build and earn trust.
  • Advanced Word, Excel, PowerPoint, and Outlook experience required.
  • Complex calendar management experience.
  • Exceptional organizational skills, follow-through and attention to detail, solution oriented.
  • Self-motivated, curious and resourceful.
  • Anticipates needs and stays one step ahead.
  • Proven ability to manage multiple tasks/projects effectively.
  • Deadline and results driven within team environment.
