Position Overview

The Vendor Compliance Analyst is responsible for the execution and adherence of Supply Chain Compliance requirements. The position requires direct interaction with Ralph Lauren Suppliers in addition to working collaboratively with various stake holders and cross-functional teams including but not limited to Production, Merchandising, Logistics, Drop Ship Operations, Account Services, Inventory Management and Warehouse Operations and Third-Party Providers to provide clear, consistent communication of vendor guidelines and compliance policies in a high growth retailer environment.

 

  • Ensure seamless product receipts to all RL DCs, stores and 3PLs
  • Identify internal error/ issues impacting data flow and work directly with the internal partners to resolve them.
  • Research and diagnose vendor non-compliance and execute corrective action plans.
  • Processing chargebacks to recover increased supply chain costs due to non-compliance.
  • Produce and deliver compliance reporting to senior management team.

Essential Duties & Responsibilities

·       Be the subject matter expert on the existing Supply Chain Compliance Requirements documented in the Supply Chain Compliance Guide.

·       Maintain and update Supply Chain Compliance Guides to ensure current business requirements are communicated in a timely and effective manner.

·       Communicate directly with Global Suppliers to onboard, educate and assist on Supply Chain Compliance requirements.

·       Educate and advise internal business partners on supply chain compliance requirements and field any queries from them.

·       Provide analytical recommendations and develop new compliance programs that will deliver enhanced value to our customer experience.

·       Monitor and work multiple reports to capture non-compliance, identifying the root cause, and working through communication with Vendors, Agents and Production Partners

·       Identify business risks from non-compliance and communicate corrective action plans as needed

·       Review exceptions requests from the vendors on case by case basis and collaborate with internal teams to mitigate them.

·       Execute processes to ensure that goods arrive at Ralph Lauren points ready to be received and/or shipped to Ralph Lauren customers in a compliant and automated fashion.

·       Understand the PO and ASN data flow from ERP through the various systems to WM and/or Island Pacific.

·       Develop strong understanding of RL business processes and operating requirements specific to RL Divisions which may follow separate processes or special handling.

·       Identify and resolve PO and ASN Failures in RL Systems ~Island Pacific, WMS and SAP I-Doc Analyzer through communication with vendor, production, IT partners and conduct root cause analysis if chargebacks result.

·       Maintain productive working relationships with all cross-functional areas, particularly Production, Merchandising, Warehouse Operations, Drop Ship Operations, Inventory Management and Logistics to collaborate with them to resolve open vendor compliance issues

·       Manage Expense Offset process and analyze vendor infraction reviews, disputes and decisions including recording of errors, and summary reporting.

·       Field and respond to inquiries from internal and external partners regarding Expense offset issues such as: chargeback events, reversal status.

·       Identify issues and trends using various analytical tools; communicate and recommend solutions to both internal and external teams.

·       Facilitate and collaborate on the development and delivery of Vendor Scorecards

·       Communication of non-compliance performance to Supply Chain partners, with the goal of driving improved performance

 

·       Lead and execute projects to support new initiates in the company impacting vendors, vendor POs, ASNs and DC processing.

 

Experience, Skills & Knowledge

·       Working knowledge of SAP and WM and how the data flows between the two systems

·       Working knowledge of Island Pacific or any other AS400 system

·       Knowledge of the vendor operations is a plus

·       Demonstrated experience to immediately understand and proceed with responsibility of the position.

·       Ability to multi-task and consistently meet deadlines

·       Excellent organizational, analytical and problem-solving skills

·       Understanding analytical reporting tools like Qlikview and QlikSense and experience in working these tools is a plus.

·       Strong decision making and follow up skills

·       Extreme attention to detail and strong organizational skills.

·       Flexibility in reprioritizing and adjusting to meet the changing needs of the business

·       Ability to work in a fast paced, demanding environment with a sense of urgency to respond same day to requests submitted by business partners and drive quick resolutions

·       Proficient in Microsoft Office Applications ~ excel, word and power point

·       Good understanding of relational data models is preferred with an ability to handle and organize large volume of data

·       Exhibit strong leadership capabilities while demonstrating a positive professional attitude even in stressful situations.

·       Must be self- starter with ability to work independently without direct guidance, be able to research and extract information to resolve problems and offer resolutions.
