Position Overview

For our office in Casalecchio di Reno (BO) we are looking for a Facilities Coordinator who will organize and coordinate the activities in our offices to guarantee a smooth operations, with security, maintenance and cleaning level up to standard. Manage administrative and financial activities related to the core activities of the department.


Essential Duties & Responsibilities

Manage, organize and coordinate Repair & Maintenance (R&M) of offices in Casalecchio di Reno, Scandicci and Campegine

Manage, organize and coordinate cleaning of offices in Casalecchio di Reno, Scandicci and Campegine

Ask and negotiate offers for R&M or any other specific activity

Point of reference for courier activities (set up new user, analyze costs, communications of closures offices, issues)

Administrative tasks like raising PO’s, check invoices

Manage special projects like refits, energy saving

Keep offices up to H&S standards and obligations

Organize and manage internal moves

Coordinate and Manage the fiscal archive

Reception activities like:

  • Greet and welcome whoever comes into the office
  • Receive couriers, register parcels, prepare/send shipments for colleagues
  • Manage facilities for office like coffeepads, green maintenance, special disposal pick up
  • Manage conference room spaces for events: set up, catering

Experience, Skills & Knowledge

A minimum technical knowledge of HVAC, electricity and fire detection

Precise and detail orientated

Good knowledge of English (verbal and written), fluent in Italian

Good communication and collaboration skills

Proactiveness and problem solving

Flexibility and ability to work autonomously

Good knowledge of Office

Driver’s license and valid work permit in Italy
