Position Overview

The Associate in Global Rights Management will support the Global Rights Management team in ensuring proper usage and clearance of photographs, video assets, props, vehicles, artwork, etc.  This individual will play a key role in tracking licensing, usage rights, and compliance with contractual obligations, helping to protect the brand's assets while enabling creative, marketing, and retail initiatives. This role requires resourcefulness and a solution-minded approach, expert communication, and organizational skills.

Essential Duties & Responsibilities

  • Assist with research and reach out for archival imagery, paintings, fine art photography, historical image libraries, etc.
  • Prop clearance, including reach-out for:
    •     Vehicles
    •     Recognizable/visible brands (recent items include: Barbie, Rubik's Cube, Assouline, and various newspapers/articles)
    •     Art, sculpture, designer furniture (for example, internet research to find obscure artists and determine if copyrights exist)
  • Identify opportunities to streamline workflows and enhance efficiency, help improve and maintain organizational systems, with intake forms, usage agreements, and contracts. Assist in developing and improving internal processes for managing asset rights and clearances.
  •  Administrative duties, including billing, PO creation, and  archiving of licensing agreements
  • Track expiration dates and renewals for licensed materials
  • Support audits related to usage rights and clearance
  • Library Admin – input usage notes on back-end in Library for future reference, assist with correcting discrepancies, identifying talent, etc.
  • Manage multiple projects and tasks simultaneously
  • Manage changes to project scope to ensure proper risk mitigation.
  • Create and maintain detailed documentation and reporting for all assigned projects, including communication, signed releases, etc.

Experience, Skills & Knowledge

  • Likes “detective work” / internet sleuthing
  • Highly organized, impeccable attention to detail , and ability to manage multiple projects at once
  • Analytic, data-driven thinker with a focus on finding innovative solutions to old (and new) challenges
  • Motivated / interested in usage and clearance, archiving, art/photography
  • Problem-solving mindset with a focus on risk mitigation and compliance
  • Negotiation skills
  • Some experience in rights management, asset clearance, project management, or related fields/experience in fashion or arts is a plus
  • Experience working in a complex corporate structure and an ability to influence across departmental boundaries to effect positive change
  • Leverages critical thinking to reduce complexity and solve problems as they arise
  • Expert user of project management tools such as Monday.com and AirTable
