Position Overview

A dynamic role responsible for coordinating and maintaining daily showroom operations while ensuring exceptional presentation standards. The position involves collaborating with Creative Services, Brand Image, and Sales teams to support product presentations, market appointments, and special events. The ideal candidate should have strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Essential Duties & Responsibilities

• Manage high number of samples across all brands. Receiving, sending and unpacking deliveries within Ralph Lauren procedures. From checking in to tracking delivery status to visual merchandising in showrooms for sales periods.
• Assist with various administrative tasks on a daily basis.
• Liaise with contractors, electricians, landlord, cleaners etc. and resolve all required repairs or maintenance in showrooms.
• Work with Showroom Manager during market preparations and showroom set ups.
• Coordinate pre-market meetings with Sales teams prior to each market period and analyze key learnings.
• Plan market staff work schedules according to sales appointments and follow up on calendar changes each week.
• Coordinate and support temporary staff and their daily work tasks, whilst maintaining company guidelines etc. during markets.
• Maintain all showrooms to RL standard during sales period.
• Assist in ad hoc projects that exist within the organization.
• Support showroom Manager with press loans. Tracking and logging sample information each season.
• Manage sample send outs for customer shoots etc. each season.
• Assist Showroom Manager with invoices weekly (coding, logging, filing).
• Work with Showroom Manager on budget forecasts for all showroom related spend each month.
• Coordinate the on-site stockrooms and sample rotation to external storage facilities.
• General support for Customer appointments & events.
• General errands for the showroom needs - sourcing props, supplies etc.

Experience, Skills & Knowledge

• Relevant experience within an office or retail environment and ability to deal with fast paced and changing environments.
• Highly organized, detail oriented and accurate.
• Professional administration & Microsoft Word, Excel, Outlook & PowerPoint skills are required.
• Ability to multitask and prioritize simultaneously and demonstrating excellent problem solving skills.
• Strong communication skills are essential to effectively maintain & develop productive relationships, supporting the organization both within Team but also across other departments locally & within EMEA.
• Take initiative within the given guidelines even during the most stressful periods.
• Flexible, open minded and a good team player.
• Creative skills combined with fashion sensibility.
• Fluency in Swedish and English, both spoken and written.
