Position Overview

To oversee the full office administrative operations of the India Sourcing Office.

Essential Duties & Responsibilities

  • Manage and monitor daily office administration services, including building facilities management, building maintenance, office renovation, security etc.
  • Assist to create, improve and maintain office procedures and guidelines.
  • Source and negotiate the purchase of office supplies, furniture and equipment, and related maintenance contracts.
  • Implement and reinforce administration policies and procedures to ensure compliance.
  • Identify and address all office maintenance issues and ensure sufficient stock of office and pantry supplies and within budget.
  • Maintain a good working relationship with internal customers and vendors.
  • Provide full administrative support to Management in all ad hoc projects.
  • Organize staff events when necessary.

Experience, Skills & Knowledge

  • Diploma or above holder in Administration, Business or related disciplines.
  • Minimum 8-10 years of relevant working experience.
  • Experience in US buying office or large trading business would be an advantage.
  • Good knowledge of space management, security, general administration, maintenance of contracts, vendor management, environmental safety and housekeeping.
  • High adaptability and flexibility to changing business environments, ability to work independently.
  • Detail-oriented, strong organizational and multi-tasking skills.
  • Good PC skill, specially Excel, familiar with multiple systems, charts and reports.
  • Strong interpersonal, communication and problem-solving skills.
  • Good business acumen.
  • Fluency in both spoken and written English.
