Position Overview

The Senior People & Development Associate, Polo Retail Outlet - North America is responsible for supporting the strategic execution of Human Resources systems and programs by fostering productive cross-functional relationships with internal/external partners. Teamwork, process orientation, relationship management effective communication, and attention to detail, are critical aspects of this role. The ideal candidate would be located in the NY/NJ area.

Essential Duties & Responsibilities

General People & Development (HR) Support:

  • Thorough understanding of HR policy and procedures
  • Act as systems administrator in Scout (Avature) and Workday; maintain and update org charts, employee records, and provide backend troubleshooting support for assigned client group.
  • Provides recommendations and potential solutions to ongoing system support challenges that impact the commercial business. Work to diagnose consistent, ongoing, and repeat issues, and partner with P&D Lifecycle and P&D IT teams to find long-term solutions.
  • Understands department strategic priorities; uses this understanding to accomplish own work and guide peers on project work.
  • Supports peers and/or other Associates to diagnose and solve problems by analyzing possible solutions using experience and judgement. Works to identify areas of opportunity for process improvement and streamlining, and partners to implement.
  • Leads small projects or project steps within a broader project with manageable risks and resources requirements.
  • Manage People & Development (P&D) communications through internal portal (field) or email (corporate) responding to inquiries and requests.
  • Ensure adherence of all P&D policies and procedures by providing accurate and timely guidance to employees.
  • Ensure accurate tracking and facilitation of all exit logistics.
  • Prepare and submit monthly P&D reports detailing key activities, data and metrics including open to hire information, employee turnover, and employee relations matters.
  • Ensure compliance of all federal and state mandated employment laws.
  • Support facilitation between Benefits and employees on any LOA questions. Communicate learning tools and platforms as needed.
  • Support with low level Employee Relations concerns
  • Assist in contributing ideas for improvement of departmental processes, procedures, and reporting.
  • Provide general office support with email inquiries, unemployment claims, audits, and employee files.
  • Assist with ad hoc projects and work with the P&D Manager team as requests arise.
  • Build strong cross-functional relationships with corporate partners as well as field store teams and employees.
  • Facilitate NA Commercial New Hire Orientation, as needed.

Talent Management & Employee Engagement:

  • Provide support during the Performance Appraisal process (i.e. scheduling training, tracking completion, and collecting completed forms, etc.).
  • Provide project management support in special projects as needed (i.e. rewards & recognition, philanthropic and engagement events, legacy awards, summer internship program, facilitation of training initiatives, talent management, etc.).
  • Lead and manage projects as assigned.
  • Support team in communication of learning and development courses to support the annual performance management and development planning process.
  • May support a specific client group in partnership with senior leader support.
  • May support in organizational design and compensation review activities in partnership with senior leader support.

Talent Acquisition & Onboarding:

  • Provide the necessary support for the P&D team, Talent Acquisition and Business Partners to ensure successful and efficient recruitment and on-boarding of all new hires and temps.
  • Support systems process to ensure smooth recruitment and onboarding process for assigned client group.
  • Ensure accurate organizational assignments and reporting lines in workday for respective client group.
  • Maintain accurate tracking of all open permanent and temporary positions and job req. approval forms. Support with data clean-up activities, as needed
  • Assist in facilitating communication between Talent Acquisition and business partners.
  • Act as point person for general questions recruitment and onboarding inquires. Act as point person between Business Partner and Finance on OTH, as required.

Experience, Skills & Knowledge

  • Advanced computer skills: Word, Excel, PowerPoint, Outlook, Visio, SharePoint and familiarity with HRIS systems (Workday, Avature, WFM/Kronos preferred)
  • Strong organizational skills and attention to detail is a must
  • Ability to multi-task, work in high pressure environment
  • Self-starter / proactive mindset
  • 3-4 years of prior relevant work experience
  • Strong written and verbal communication skills
  • Excellent interpersonal skills with the ability to build and maintain strong working relationships
  • Ability to work flexible hours outside of local time zone as needed
