Support the New Store Projcts Team with key administrative duties, enabling the team and business to meet deadlines anvd business objectives relatimng to all new store openings, renovations and space optimization requests

Master Document Maintenance and Updates:
- Assist in maintaining and adding critical information to key master documents that are regularly used by multiple stakeholders across departments. Their role will ensure that these documents are accurate, up-to-date, and reflect the latest changes, minimizing errors and improving overall information sharing.
Final floor plans / CAD plans/schedules:
- Follow up with the Construction team and maintain the current folders so that all teams have access to the latest floorplans / CAD plans. Making sure they are updated and are the “as built version”.
Project Initiation Package – PIP
- With the increasing number of PIPs being sent out, the coordinator will help gather the necessary information and manage the increasing number of stores planned for opening, this includes but is not limited to all new stores, all renovation projects and legacy store requests.
Meeting notes and Stakeholder Follow-ups:
- The coordinator will support by taking meeting notes during key meetings and ensuring timely follow-up with stakeholders. This includes monitoring deadlines and mitigating risks to schedules, enabling more efficient project execution and reducing the likelihood of delays.
Order Forms and Setup Completion Management:
- Assisting in distributing and tracking order forms and setup completions, the coordinator will help balance the workload, ensuring tasks are completed on time. This support will allow for smoother coordination and more manageable project timelines
Legacy Process Management:
- The new coordinator will assist in managing the LSR process by overseeing the receipt of submissions, organising the flow of information, and ensuring that necessary data is captured accurately. They will also help manage the overall process by chasing stakeholders for next steps, ensuring that tasks are completed on schedule, and keeping the project moving forward in a timely and efficient manner.
PO Raising:
- The coordinator will be responsible to raise and receipt P.Os required by our team
Forecasting:
- assist the team in accurately completing the forecasting process and managing the discrepancies on a monthly basis
Experience, Skills & Knowledge
- Excellent verbal and written communication skills
- Attention to detail at the highest level
- Proficient in Microsoft Office with emphasis on Projects, PPT and Excel
- Good work ethic and a “Can Do” attitude
- Resourceful and resilient
- A great team player that is also self motivated and can take initiatives
