Position Overview
The Store Project Associate provides structured coordination and administrative support to retail store renovation, new store opening, and relocation projects. The role supports Project Managers and cross functional stakeholders to ensure projects are delivered in alignment with brand standards, timelines, budgets, and compliance requirements.
Essential Duties & Responsibilities
Responsibilities:
1. Project Coordination & Support
• Support renovation, new store opening, relocation, and pop up store projects across assigned locations
• Assist in tracking project schedules, approvals, and action items
• Follow up with internal teams and external vendors on routine coordination matters
• Support site coordination activities and attend site visits when required
• Escalate risks, delays, or missing information to senior team members in a timely manner
2. Cost & Budget Administration
• Assist in preparing basic project budgets, cost trackers, and opening cost estimates using approved templates
• Support the preparation of monthly spend summaries and simple forecasts for review
• Maintain organized cost documents and supporting records in shared systems
• Ensure accuracy and completeness of cost related data
3. Procurement & Contract Support
• Support procurement coordination for millwork, materials, and lighting packages
• Assist in tracking RFQs, approvals, awards, and delivery timelinesAdhere to company policies and procedures, including compliance with procurement guidelines and applicable regulations
• Coordinate with Legal, architects, contractors, and vendors on contract documentation
• Maintain procurement and contract records in accordance with company procedures
4. Documentation, Reporting & Administrative Support
• Maintain project files, drawings, schedules, approvals, and correspondence in shared platforms (e.g. Smartsheet or internal systems)
• Prepare meeting agendas, minutes, and action item trackers
• Assist in preparing presentation decks and project updates for internal meetings
• Support approved internal communications related to store projects
Experience, Skills & Knowledge
Requirements:
- Diploma or Bachelor’s degree in Building Construction, Interior Design, Architecture, or a related
- discipline
- 1–2 years of relevant experience in retail fit‑out, renovation, decoration, or construction‑related
- projects
- Exposure to a retail design or store development environment, including store renovation, new store
- opening, or relocation projects, is preferred
- Good technical foundation with the ability to interpret drawings, layouts, and visual materials, and
- support creative and visualization requirements in a retail design environment
- Basic working knowledge of AutoCAD, SketchUp, and Photoshop; ability to interpret drawings and visual
- materials is an advantage
- Proficient in MS Office (Excel, PowerPoint, Word); familiarity with MS Project is a plus
- Experience using shared project or documentation platforms (e.g. Smartsheet) is an advantage
- Proficient in Cantonese and English; Mandarin is an advantage
- Clear, effective written and verbal communication skills
- Strong attention to detail, organizational skills, and documentation discipline
- Ability to manage multiple tasks, work under pressure, and meet deadlines
- Able to work independently with guidance and collaboratively as part of a team
- Well‑motivated, proactive, positive, and open to learning
- Willingness to attend site visits and support on‑site activities when required
