Position Overview

Ralph Lauren is seeking a proactive and team oriented Executive Assistant to support the Managing director of region Italy, Iberia, Partner Territories & Travel Retail. 
This role requires organizational skills, flexibility and emotional intelligence to work in a dynamic and fast-paced omnichannel environment.
Superior attention to detail and the ability to meet tight deadlines and juggle multiple requests is critical. Integrity and discretion in handling confidential information and professionalism in dealing with senior executives is imperative. A flexible approach is a must, and the ability to change direction at a moment’s notice.

Essential Duties & Responsibilities


Delivering first class Executive support by:
* Performing extensive travel arrangements for the Managing director and his Leadership Team (including arranging visa’s if necessary)
* Performing extensive diary management
* Planning and organisation of meetings & company events including; venue search and booking, issuing invitations and tracking acceptances, budget control
*Planning and organization of Executive Visits within the Managing director’s regions by collaborating with other’s EA’s project team. Be ready to travel if necessary.
* Preparing and submitting expenses for the Managing director
* Instilling a pro-active approach to administrative support for the Managing director in order to optimize his time.
* Acting as first point of contact and central information point for the Managing director
* Sending out communications on behalf of the Managing director when required
* Preparing and collating documentation as and when required,
* Managing and maintaining the team contact and email distribution lists
* Preparing Booking boardroom / meeting rooms for meetings and make sure video conferencing, refreshments etc. are available
* Building Strong relationships with our stakeholders

Experience, Skills & Knowledge

Required to use own initiative and be a driven self-starter to foresee the MD and the Company’s needs
* Demonstrate a flexible, intuitive and pragmatic way of working; the candidate will need to consider different time zones, remote teams, changing deadlines etc
* Portray a professional image of the team and company to our customers, both internal and external
* Ability to communicate at all levels
* Uphold confidentiality principles
* Maintain the commercially sensitive nature of information
* Knowledge of MS Office - Word, Excel and PowerPoint
