Position Overview

Responsibilities will center on operational and financial support for the Global Marketing and Advertising Divisions with the primary focus working directly with the Agency and Corporate Finance to assist with the management of over 1500 projects annually. This role will provide support and analysis to Corporate Finance helping to ensure fiscal responsibility.


·       Timely and accurate management of over 1500 projects annually in SAP

·       Ensuring the proper assignment of expenses to projects and closeout

·       Operating expense and financial management including monthly close activities, billing, accounts payable and accounting functions


The ideal candidate will be an organized and detail-oriented professional with the ability to multi-task.  Position requires candidate to be proactive in maintaining and enhancing business process to ensure efficiency.

Essential Duties & Responsibilities

·       SAP: Project setup, monitor error reports, validation between systems, budget setup and project closeouts

·       Partner with the Business and AP to oversee Ariba PO’s and Invoicing

·       Responsible for month-end financial close activities such as account reconciliations, journal entries, Fedex reconciliations and intercompany invoicing

·       Process project billings and ensure timely closing of projects according to company policy and procedures

·       Partner with AR team to maintain accounts receivables and aging statements. Ensure timely collection of funds via direct communication and follow-up with external clients such as L’Oréal

·       Act as Superuser/SME for current Agency project tracking system, Agency policies and processes (interim)

·       Support quarterly systems Audits by pulling support, obtaining approvals and answering questions as needed

·       Think outside the box to find ways to improve productivity and efficiency

·       Support and prepare ad hoc analyses for Senior Leadership

·       Establish and maintain strong business partnerships across divisional finance teams to promote teamwork and organizational alignment

Experience, Skills & Knowledge

·       College/University degree Business Administration/Finance or related field

·       2+ years Operations and Finance experience

·       Advanced proficiency in SAP, Ariba and Excel and other Microsoft applications. a plus

·       Marketing and Advertising experience in an operational finance role preferred

·       Proven ability to manage multiple tasks and adapt to a changing, fast paced environment

·       Meticulous attention to detail and strong organization skills

·       Strong analytical and strategic thinking required

·       Clear communication and presentation skills (oral, written, and formal) with the ability to develop professional relationships with varying levels of management

·     Self-motivated and proactive
