Position Overview
Essential Duties & Responsibilities
Mailroom Operations
- Provide comprehensive mailing services (local and international courier) for Asia Headquarters
- Sort and distribute internal and external mail efficiently
- Receive, record, and track all local and international courier items
- Notify staff promptly for mail collection
- Assist staff with preparing and dispatching courier items
- Ensure timely and accurate delivery of all mail and courier items
- Maintain daily logs and incoming/outgoing mail records
- Perform other mailroom-related duties as assigned
Facilities Management
- Coordinate meeting or event setup and related logistics
- Follow up on day-to-day operational issues with Building Management Office (e.g. washroom cleaning, air conditioning temperature adjustment)
- Coordinate with the vendors on repair & maintenance of office facilities (e.g. lighting, office furniture)
- Handle the Move, Add, Change request from internal stakeholders
- Assist in office repair & maintenance or renovation as required
- Attend weekend duties when necessary
Administrative Support
- Perform general office administrative duties, including ordering office supplies and conducting stock takes
- Process invoices and maintain accurate payment and record-keepings
- Assist in maintaining seating plans, facilities records and floor plans
- Provide backup support for reception services when necessary
Ad-hoc Duties
· Perform other duties and special tasks as assigned by manager
Experience, Skills & Knowledge
Education & Experience
- Higher Diploma or above
- Minimum 3 years in mailroom operation, facilities management or office administration in MNC
- Professional, friendly, polite, and mature demeanor
- Strong multi-tasking abilities with excellent attention to detail
- Able to work independently with minimal supervision
- Ability to thrive in a fast-paced and dynamic work environment
- Good organizational and time management skills
- Proficient in MS Office application (Excel, Word, PowerPoint)
- Proactive and solution-oriented mindset
- Willing to share feedback and suggest process improvements to enhance efficiency
- Proficient communication skills in English, Cantonese and Mandarin (written and verbal)
